Privacy Policy
What we collect when you send us a shipment or a carrier application, why we need it, and what we do with it.
Who this covers
Klutch Logistics Inc. ("Klutch", "we", "us") operates this website and arranges freight transportation for its customers. This policy explains what personal information we collect through https://klutchlogistics.ca, why we collect it, and what we do with it.
It applies to the information you send us through this site, by email, or by phone. It does not cover other companies' websites that we may link to.
What we collect
We only ask for what we need to price and move a shipment, or to assess a carrier. We do not require you to create an account, and we do not ask for payment details through this site.
Through the quote form we collect:
- Your name, and your company name if you give one
- Your email address and, optionally, your phone number
- The shipment details you enter: pickup and delivery locations, commodity, weight, dimensions, timing, and equipment requirements
What we collect from carriers
Through the carrier form we collect your carrier name, contact name, email address, optional phone number, your NSC, MC or DOT number, the equipment you run, and the lanes you cover.
We use your operating authority number to verify your authority, insurance and safety record with the relevant regulator before dispatching freight to you. That verification is a normal part of qualifying a carrier.
Why we collect it
We use the information you send to respond to your request, quote and arrange transportation, coordinate a shipment through to delivery, and keep in touch with you about that work.
We do not sell personal information. We do not share it with third parties for their own marketing.
If we ever want to send you commercial email that is not a reply to something you sent us, we will ask for your consent first and every message will include a way to unsubscribe, as CASL requires.
Who we share it with
Moving freight involves other parties, and some of your information has to reach them for the shipment to happen. Specifically:
- Carriers, who need pickup and delivery details and a contact at each end
- Customs brokers, on cross-border shipments, who need commodity and value information to clear the freight
- Service providers who help us operate, such as our email and hosting providers
- Anyone else where the law requires it, or where you have asked us to
Where your information is held
Our website and email are operated using service providers who may store or process data outside Canada, including in the United States. Where that is the case, the information may be accessible to courts and law enforcement in that country under its laws.
Cross-border shipments necessarily involve sharing information with parties in the destination country.
How long we keep it
We keep quote requests and shipment records for as long as we need them to serve you and to meet our legal, tax and insurance obligations, and then we delete them.
If you would like to know the retention period that applies to your information, contact us and we will tell you.
Cookies and analytics
This site does not set advertising or tracking cookies, and it does not build a profile of you across other websites.
Your browser may store a small amount of information locally to remember how the site is presented to you. That stays in your browser, is not sent to us, and does not identify you.
If we add analytics in future, we will update this policy before doing so.
Keeping it secure
This site is served over an encrypted connection, and access to the information you send us is limited to the people at Klutch who need it to do their work.
No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please do not send sensitive information such as payment card or banking details through the forms on this site.
Your rights
Under PIPEDA you can ask us what personal information we hold about you, ask for a copy of it, ask us to correct it if it is wrong, and withdraw your consent to our using it, subject to legal and contractual limits.
We will respond to a request within 30 days. There is no charge for a reasonable request.
If you are not satisfied with how we have handled your information, you can complain to the Office of the Privacy Commissioner of Canada.
Changes to this policy
If we change this policy we will update the date at the top of this page. Material changes will be signposted on this page rather than made quietly.
